Terms of Use
Know Your Zone LLC · Effective October 14, 2026 · Version 2026-10-14
Read the Data Security and Privacy Policy
1. Agreement and scope
These Terms of Use govern access to the Know Your Zone Reporting Portal at softball.kyzsports.com and its reporting, video, roster, training, messaging, file-submission, membership and meeting services. The service is operated by Know Your Zone LLC (KYZ, we, us or our). By accepting these terms when applying for or activating an account, you agree to use the service within the permissions granted to you. The Data Security and Privacy Policy explains our information practices and supplements these terms. If you act for a school, conference, crew or another organization, you must have authority for the actions you take on its behalf. Any separate written agreement with KYZ continues to apply to the services it covers.
2. Accounts, verification and security
Provide accurate identity and contact information, complete required email verification, and keep your account details current. An application, verified email or invitation does not grant features beyond the access approved for your account. Use your own account, protect your password and signed-in devices, and do not share credentials, impersonate another person or bypass access controls. Expired sessions may require you to sign in again. Promptly report suspected unauthorized access, incorrect identity links or disclosure through Contact KYZ. The portal is intended for approved softball participants and organizational users, rather than independent account registration by children under 13.
3. Roles, assignments and authorized access
Access depends on account approval, assigned roles, KYZ identities, current crew or conference assignments, team ownership, season, memberships, feature grants and program settings. A sidebar item, copied report link or meeting link does not itself authorize access. Team accounts may use their assigned team functions; collective participation or another approved grant can permit additional report access. National Staff access is limited to enrolled programs and the permissions KYZ grants. Private fall-ball, scrimmage and admin-only test records have additional restrictions. Use information only for authorized softball training, coaching, scouting, evaluation, administration and performance review. Changes in assignments or access can change the records and features available to you.
4. Memberships and feature eligibility
The Membership page describes the access available to your role and the membership being offered. Diamond Membership is the umpire Full Access membership; Basic Membership provides a narrower set of features. Paid Diamond access includes Scorebook Insights and eligibility to schedule portal meetings. Eligible Basic members may attend meetings to which they are invited but cannot schedule them. Coordinators, National Coordinators and administrators have applicable meeting permissions. Coach and team-user accounts do not receive meeting access through a team membership. Paid team membership includes Scorebook Insights for authorized team accounts. Trial, grace-period and complimentary access may preserve other approved features but do not automatically confer paid-only features; KYZ may grant or restrict features separately. Conference Performance access is also subject to the applicable conference or National Staff grant. Membership does not override report ownership or other access restrictions.
5. Purchases, renewal and billing questions
Review the price, currency, product, covered account or team, and access period shown before completing a purchase. Online payments use Square-hosted checkout, and KYZ may also record authorized payments made through other arrangements. Purchased access is applied after payment confirmation. The portal's current annual memberships do not renew or charge automatically; renewal requires another purchase or an approved KYZ arrangement. Access can expire at the end of the recorded coverage period. Contact KYZ about billing errors, duplicate payments, cancellation or refund requests. Refunds depend on the applicable purchase terms, KYZ's review and any rights required by law; these terms do not establish a blanket no-refund rule or an automatic refund entitlement. A refund or access adjustment may change the remaining membership coverage.
6. Confidential reports and permitted copies
Nonpublic game reports, evaluations, videos, pitch clips, player and umpire information, calibration records, corrections, communications and other protected materials must be handled within their authorized scope. Do not publicly post, sell, forward or distribute them to unauthorized recipients. Available print, download and export controls may be used for authorized purposes; they do not grant unrestricted redistribution rights. Protect copies you obtain, including screenshots and email attachments, and comply with the relevant organization's confidentiality requirements. Removal of portal access does not recall copies already obtained, and confidentiality obligations continue after access ends.
7. Content ownership and operational permission
You or the relevant rights holder retain ownership of submitted content. By submitting game data, video, rosters, files, messages or other material, you represent that you have the rights and authority needed for the intended processing and sharing. You grant KYZ a nonexclusive permission to receive, store, copy, process, analyze, synchronize, create pitch clips from, display and deliver that material to authorized users and service providers as reasonably necessary to operate, secure and support the service. This permission does not transfer ownership to KYZ. It remains applicable to retained records for the purposes described in the Data Security and Privacy Policy. Provide required notices and obtain permissions required by law, organizational rules or the content owner's agreement, including for information concerning athletes or minors. Your acceptance of these terms does not establish every person's consent.
8. Uploads, rosters and identity links
Submit accurate game dates, teams, participants, roster details and files, and use the appropriate season and scrimmage identifiers. Tracking files can contain incomplete names, incorrect team assignments or missing measurements. Automated matching may use roster names, KYZ identifiers and saved name associations, while unresolved records may require review or a fallback value. Authorized users can maintain rosters and use Player Data Links to associate source names with the correct roster identity or clear an incorrect association. Review suggested matches before confirming them. A roster or identity correction does not necessarily recalculate a previously processed game. Send Files to KYZ records the submitting account and, where applicable, the authorized team; submission makes the files available for KYZ review and processing, rather than guaranteeing immediate game publication.
9. Reports, analytics and corrections
Reports are generated from the source data, scoring methods, calibration and reviewed information available for that game. Scorebook Insights uses play-by-play and box-score information, which is separate from pitch-tracking data. Missing records, name matching, tagging errors, small samples and tracking or timing errors can affect results. Training badges, rankings and performance statistics are reporting tools, not guarantees of ability, certification, selection or assignment. Use professional judgment when interpreting them. Authorized team controls may apply corrections within their permitted scope; pitch-result changes affecting the umpire report require KYZ review and recalculation. KYZ may correct or recalculate records through the applicable workflow. Report suspected errors using the available review tools or Contact KYZ.
10. Video processing, retention and deletion
Video processing and pitch-clip creation may continue after upload or calibration. Playback depends on the available source recording or validated clips, synchronization, device and connection. Where full-recording retirement is enabled and its validation and safeguard requirements are satisfied, the full recording may be retired and deleted while pitch clips and reports remain available. After that recording is deleted, timing or anchor changes requiring footage outside the saved clips require re-uploading the original. Retention and recovery are governed by the Data Security and Privacy Policy and applicable operational or legal requirements; recovery is not guaranteed. Keep an authorized independent copy of source files you may need later. Deleting a file through a portal control does not necessarily remove associated reports, audit records, backups or copies already delivered to others.
11. Messaging, groups and notifications
Use portal messaging respectfully and share game links only with people entitled to the underlying reports. A private group's creator can add or remove members through the available controls. Added members can see existing conversation history, so consider the information already shared before adding someone. Removal ends future conversation access but does not recall prior downloads or notifications already delivered or queued. Messenger email notifications can be turned off in the profile controls; account, security, meeting and other service emails follow their applicable workflows. Delivery can be delayed, filtered or unsuccessful, so do not rely on portal messages or email for emergencies or time-critical safety communications.
12. Meeting reservations and invitations
Portal meetings share one licensed Zoom account, so reservations must not overlap other bookings, transition periods or administrative time blocks. Scheduling is subject to your current eligibility and available times. Invite only eligible KYZ users through the authorized controls, including saved invitation groups and later additions. Your meeting list is limited to reservations you created or were invited to; applicable administrators may have separate management access. A forwarded invitation does not confer portal entry rights. Early arrivals may see a KYZ waiting page until the reservation opens. The reservation has a fixed end time and an automatic cutoff; a late start does not extend it. Save any permitted work before the countdown ends, and cancel unused reservations through the available controls. Provider or connection failures can affect joining, status updates, reminders or the exact timing of closure.
13. Meeting media, recordings and third-party services
Zoom supplies the meeting media service, and use of its features is subject to the provider's applicable terms and technical requirements. Enable camera, microphone and screen sharing only when intended, and avoid exposing unrelated or restricted material. KYZ does not enable automatic recording for portal-created meetings, and recording controls are disabled in the embedded interface. This does not prevent someone from using external recording, screenshots, transcription tools or a meeting assistant. Do not record, transcribe or introduce such a service without the authority, notice and consent required by law and the relevant organization. KYZ does not guarantee that meetings cannot be recorded by others. Hosting, email and payment functions also use service providers described in the Data Security and Privacy Policy.
14. KYZ intellectual property and limited license
KYZ or its licensors own the portal software, design, interfaces, scoring methods, report formats, original analytics, documentation, graphics and branding, subject to the separate rights in submitted and third-party content. Approved users receive a limited, nonexclusive, nontransferable and revocable right to use authorized features for the permitted purposes. Except for permitted portal use, authorized printing or exports, rights required by law, or KYZ's prior written permission, do not copy or commercially redistribute substantial portal content; scrape or systematically extract data; reverse engineer proprietary software or calculations; remove ownership notices; use restricted materials to train artificial-intelligence or machine-learning systems; or reproduce KYZ's protected materials in a competing product. No ownership of KYZ intellectual property transfers with membership or access.
15. Responsible use and protective action
Do not harass, threaten, discriminate against, publicly shame or improperly target another person. Do not submit deliberately false information, manipulate records without authorization, upload malicious files, evade access restrictions, interfere with the service or conduct security testing without permission. KYZ may investigate reported misuse, preserve relevant evidence, restrict features, remove content, or suspend or terminate access when reasonably necessary to protect people, data, service operations or legal rights. Paid membership does not authorize prohibited conduct. Relevant confidentiality, content-rights and data-protection obligations continue after access ends.
16. Privacy, security and individual requests
The Data Security and Privacy Policy describes the information KYZ collects, its purposes, authorized sharing, service providers, safeguards, retention and request options. Review it through Privacy & Security on the login page. Acknowledging that policy is not blanket consent to disclose another person's information or permission to bypass their rights. Protect your devices, signed-in browser sessions, local drafts and downloaded materials. Request access, correction, deletion or other applicable privacy assistance through Contact KYZ. Verification, legal requirements and the rights of other people or organizations may affect how a request can be fulfilled.
17. Availability and applicable rights
The portal depends on source information, processing jobs, third-party services and users' devices and networks. Features may be temporarily unavailable during maintenance, an outage, processing or a security response. KYZ does not promise uninterrupted operation, error-free reports or that every source file or deleted recording can be recovered. These terms do not exclude rights, remedies or obligations that cannot lawfully be excluded, and a specific written service commitment remains governed by the agreement making that commitment.
18. Revisions and contact
KYZ may revise these terms as its services or requirements change. Published revisions identify their version and effective date. We will provide additional notice or obtain acceptance where required by applicable law or a governing agreement. A new version does not rewrite the version or date recorded for an earlier acceptance. Questions about these terms, account access, billing, submitted content, privacy or security can be sent to Know Your Zone LLC through Contact KYZ at softball.kyzsports.com/login. Do not include passwords, full payment-card details or unnecessarily sensitive information.
Access applications require KYZ approval. Password resets use secure one-time email links.
